Dear Mr. Smith,
I hope this letter finds you well. I am writing to discuss the parent-teacher meeting scheduled for this Friday regarding my daughter, Ella's, recent academic performance.
Regrettably, I must inform you that I am unable to attend the meeting on the proposed date due to a prior work commitment. I am slated to be the key presenter at a national conference that day, making it impossible to reschedule.
Ella's recent C grade in Physics has indeed been a cause for concern. I have been actively involved in her studies, assisting with her Physics homework every evening. Despite our efforts, she has confessed a growing disinterest in the sciences, expressing a stronger inclination towards the arts. This shift in interest seems to be impacting her motivation and performance.
Given the situation, I am eager to consult with you on strategies to reignite her enthusiasm for her studies. Could we possibly reschedule our meeting to either next Thursday or Friday? I believe your guidance will be invaluable in helping us navigate this challenge.

Dear Mr. Smith,
I’m writing in regard to our parent-teacher meeting that you have invited me for this Friday.
First of all, please be assured that I take Ella’s education as something very crucial and important. However, I regret to inform you that I am not available on this Friday. I had already made a prior commitment to a conference at work, scheduled on the same date, in which I will be the key presenter and host. As there will be attendees coming from different parts of the country, it is quite impossible to re-schedule the event.
I understand that Ella received a C grade in her Physics in the recent test. In fact, I had been guiding and helping her for her Physics homework every evening after her dinner time as she seems to be reluctant to do her homework in recent days. During a couple of sessions, she had shared with me that she is “more of an art person” and “her heart is not really in science.” I suspect that this low interest maybe the reason why she had started falling behind.
However, I am looking forward to having a chat with you and getting your advice on how to help Ella in finding her interest again. Therefore, may I suggest if it will be possible to postpone the meeting to next week, preferably on either Thursday or Friday, instead?

I hope this message finds you well. I am writing regarding the meeting scheduled for this Friday to discuss my daughter, Amelia's, recent test scores; regrettably, I am unable to attend due to a prior work commitment that requires my presence out of town.
The importance of Amelia’s academic progress is paramount to me, and I have been actively involved in her study routines to bolster her understanding and retention of the material. We have established a structured schedule that includes reviewing her class notes, practicing additional exercises available through school resources, and engaging in one-on-one sessions to address specific areas she finds challenging. Despite our efforts, I realize her grades have not yet reflected this hard work, and I am keen to collaborate closely with you to explore more effective strategies.
Understanding the urgency of the situation, I propose we reschedule our meeting to a time when I can ensure my participation. Would it be possible to meet next week? I am available on Wednesday or Thursday after 3:30 PM, and I hope this could fit into your schedule as well.
